I came across Christine Shimasaki’s helpful article on FICP’s LinkedIn Page; the article offers ten great tips on how planners can get the most of or their site inspections. Here are Christine’s 10 essential tips:
1. Communicate your meeting goals and objectives upfront
2. Pay attention to the details as you receive information before your visit, as you arrive, during the site inspection, as you are leaving and after you return from the site inspection
3. Take time to set the stage for your expectations and “lay of the land” before you begin the tour
4. A Camera or video device is the planner’s best friend on a site inspection
5. Be in control of your agenda, but leave room for a few surprises to see the hotel responds to this challenge.
6. Ask questions and address the hard stuff up front
7. Understand the hotel or meeting facility in relations to the city. “What can I walk to?”
8. Seeing is believing… Make sure to have diagrams
9. Following the site inspection be sure to clearly define your follow up needs and expectations
10. Be green! Ask ahead of time to have promotional material presented to you on thumb drive.
